The Process
How work orders work
Once you're approved, here's what a typical job looks like from dispatch to payment.

Work Order Dispatched
You'll receive a work order via text or email with the property address, tenant contact, scope of work, and any entry instructions. Acknowledge within 24 hours.

Coordinate with Tenant
Contact the tenant directly to schedule. Be professional and flexible. Notify us if access is an issue.

Complete the Work
Do the job right. If you find additional issues beyond the original scope, call us before proceeding โ don't assume authorization for extra work.

Document & Submit
Take before/after photos, complete the work order in our system, and submit your itemized invoice within 7 days of job completion.

Get Paid
Approved invoices are processed on a Net 15โ30 day basis. Disputes or questions? Contact our accounting team directly.
FAQ
Common questions
How long does vendor approval take? โผ
Once we have all required documents on file, most vendors are approved within 2โ5 business days. We'll confirm via email when your profile is active in our system.
What trades are you looking for? โผ
We regularly need: HVAC, plumbing, electrical, appliance repair, landscaping, pool service, handyman, painting, flooring, roofing, pest control, locksmith, and cleaning/turnover crews. If your trade isn't listed, apply anyway โ we'll reach out when we have a need.
What are your payment terms? โผ
We pay via credit card, ACH, or check on a Net 15โ30 day basis after job completion. We reconcile invoices weekly and aim to pay faster when volume allows.
Can I set my own rates? โผ
Yes โ we expect market rates for quality work. We don't low-ball vendors; we expect fair pricing in return for consistent volume and prompt payment. Refer to our Pricing Expectations section for typical ranges. Invoices significantly above those ranges without prior approval may be disputed.
What if a job is bigger than expected? โผ
Always call us before doing additional work beyond the original scope. We need to authorize the extra cost, notify the owner, and update the work order. Unapproved work may not be reimbursed.
Do you require background checks? โผ
We don't currently require formal background checks, but we do verify licensing, insurance, and references. All vendors agree to conduct themselves professionally with tenants and represent Aloe PM appropriately.
